How do I view/edit Case Assignments?

This article will discuss the Case Assignments screen.

Note: The Case manager will need to be enabled to create, view, and manage Cases.  There is no additional cost for the Case Manager.  If you do not see any of the Case options, please check with an Administrator on your account to see if the case manager can be enabled for your agency. 

Case Assignments

There are a couple of different ways to find the case screens.  You can use the quick search tool in the top blue bar to search for the specific Case record you are wanting to view (see below - Figure 1). for more information about that search tool see the video labeled How do I use Quick Search

You can also click on Records and click on Cases (see below - Figure 2) to view a list of cases entered into the database and select the case you want to view from that screen. (see below - Figure 3)

Once in the Case screen, you will see the tabs or tools across the top just below the blue bar. (see below - Figure 4)

The second tool or tab is the Case Assignments.  This icon looks like a handshake.  In this screen, you will be able to add, edit, or remove users from having permission to view the information if it is made confidential, now or in the future. (see below - Figure 2)

The Case Owner field would be the primary advocate or user assigned to the entire case. The default will be the user who created the case initially, however, you can choose a different case owner from the dropdown box.  There is only one case owner. (see below - Figure 6)

The assign Advocate field is where you will assign the one or more advocates that will have permission to view the case in the event it is made confidential, or if the user’s security level would otherwise prevent them from seeing the case information. (see below - Figure 7)

If you do not see a user’s name in the list, it could mean that person would already have the correct permissions to view the case whether or not it is made confidential.  This would include all Administrators on the account.
