How do I view defendant records?

This article will discuss the Records; defendant List.

Note: Viewing the defendant list screen is dependent on the Defendant Manager being enabled in the Admin screen.

If you are not able to view the defendant list screen check with an Administrator on your account to see if it can be enabled.  There is no additional charge for the Defendant Manager. 

Defendant Records

From any screen click on Records and click on Defendants. (see below - Figure 1)

The Defendants List screen will display all the defendants that have been entered for the past 30 days.  You can expand the time range you are viewing by clicking on the down arrow and choosing 60 or 90 days, the past year, or any year that you have defendant data entered. (see below - Figure 2)

Just below the time range, you will see 4 buttons (see below - Figure 3): 

  • Column Visibility
  • Copy
  • Print
  • Export.

Column Visibility will allow the individual user to choose the columns that are displayed in this list.  The default is every column turned on or visible. Click on the Column Visibility button and click on the columns that you want to turn off or hide.  Do that same process again to turn any column on that you have previously turned off. 

Click on the Copy button to copy what is displayed on the screen to paste it into a document. 

Click on the Print button to print what is displayed on the screen. 

Click on the Export button to choose the method of exporting what is displayed on the screen.  You can choose a .cvs file, Excel Spreadsheet, or a PDF. 

Below the Column Visibility button, you can click on the down arrow button to choose the number of defendants displayed on the screen. (see below - Figure 4)

The search tool in the top blue bar will default to finding Defendant by Defendant. (see below - Figure 5)

The filter box on the right side of the screen will filter what is displayed on the screen.  It is an alpha-numeric field and will search every column in the list.  (see below - Figure 6)

Below the filter box, you can use the First, Previous, Next, and Last buttons to view additional pages of defendants. (see below - Figure 7)

Finally, on the right side of the list, there are 2 tools.  The tools will bring you into that Defendants screen, specifically into the tab that matches the tool that you clicked on.  If you are not sure what the tool is or does you can hover over the icon for the name of that tool. (see below - Figure 8)
