How do I view Case Information?

This article will discuss the Case Information screen.

Note: The Case manager will need to be enabled to create, view, and manage Cases.  There is no additional cost for the Case Manager.  If you do not see any of the Case options, please check with an Administrator on your account to see if the case manager can be enabled for your agency. 

Case Information Screen

There are a couple of different ways to find the case screens.  You can use the quick search tool in the top blue bar to search for the specific Case record you are wanting to view (see below - Figure 1).

You can also click on Records and click on Cases to view a list of cases entered into the database (see below - Figure 2) and select the case you want to view from that screen (see below - Figure 3).

Once in the Case screen, you will see the tabs or tools across the top just below the blue bar (see below - Figure 4).

View/Edit Case Details

The first tool or tab is the Case Information and looks like a briefcase.  On this screen, you will be able to view or edit the Case Details.  This includes each field of information as well as turning on or off the confidentiality for the Case. (see below - Figure 5)

The Case Date/Time is the date and time you received the case and began working on it.  If you edit this field remember to click on the blue icon that looks like a floppy disc to save.  You can also cancel the edit by clicking on the ‘X’. (see below - Figure 6)

The Stage defaults to Intake (see below - Figure 7) at the creation of the case but can be changed to any case stage that is in the dropdown list.  Intake is the only pre-loaded stage in the software, however, the Admin on the account can add additional case stages to meet the needs of your specific agency.  When choosing the new case stage the default date will be the current date, however, you can change the date to whatever date you need.  Remember to click Save or cancel the edit by clicking on the ‘X’. (see below - Figure 8)

The case number, Case officer, Badge Number, and Division fields can be edited if needed, and there is no save button for these fields. (see below - Figure 9)

Finally, Confidentiality can be turned on or off, at any time, by clicking on the button.  If it is off, the button will be white, if it is on, the button will be orange and you will see the icon in the upper left corner of the screen that looks like a man with a hat.  Making the Case confidential will make every victim or client and every defendant confidential as well. (see below - Figure 10)
