How do I view and edit Defendant info?

Defendant info can be viewed and edited on the Defendant Information tab in a defendant's Defendant Screen.

This article will detail editing defendant info utilizing the "Defendant Info for Case" and Current Defendant Contact Info" blocks. To skip ahead to the block that applies to you, click one of the links below:

  1. To begin, navigate to the Defendants Records screen. First, click the records dropdown to expand the dropdown.
  2. Next, Click on "Defendants" and you will be taken to the Defendants Screen where you can view all defendants.
  1. Once on the Defendants Screen, choose the defendant from the list that you wish to view/edit.
  1. After choosing a defendant from the list, you will be navigated to the selected defendant's defendant screen. Here you will be able to view and edit the defendant's info. If you are trying to get here from another tab on the defendant screen, click the icon that looks like a pencil. 
  2. It is located on the row of icons below the top blue bar. Once here, you will see a block on the left side of the screen labeled "Defendant Info for Case:" followed by a case number. Use this block to edit info recorded for the defendant for that specific case.
  3. On the right side of the screen is the "Current Defendant Contact Info" block.

Defendant Info for Case

  1. Before editing, look to the right side of the screen to see if the info in the block labeled "Current Defendant Contact Info" is up-to-date and can be used to fill in defendant info for the current case. If so, you can click the red icon that looks like 2 sheets of paper and it will copy the information from the "Current Defendant Contact Info" block and add it to the "Defendant Info for Case:" block.
  2. If the defendant's information is confidential, mark it as so by clicking the toggle button to the right of  "CONFIDENTIAL".
  3. To the right of "First Name" you will see the defendant's first name. To edit their name, click the pencil icon next to their name and you will be able to make edits.
  4. Below their first name, you will see the defendant's last name. Click the pencil icon next to the defendant's last name to make edits.
  5. Next is a field labeled Business Name. If the defendant is related to a business in the corresponding case, that business can be added or edited here. In this case, there is no business name so the field appears in red font and reads "Enter Business Name". Any fields that were not filled out during the original entry will appear this way.
  6. Click the pencil icon next to the address to make edits.
  7. If there is a second address line, Click the pencil icon next to "Address 2" to enter or edit.
  8. Click the pencil icon next to the "City" to change the city.
  9. Click the pencil icon next to the "State" to change the state.
  10. Click the pencil icon next to the "Postal Code" to change the postal code.
  11. Click the pencil icon next to "Phone Number" to edit the defendant's phone number.
  12. If the defendant has acquired another phone number, click the pencil icon next to "Secondary Phone" to enter it or edit an existing secondary phone number.
  13. Click the pencil icon next to "Email", to edit the defendant's email address.
  14. Click the pencil icon next to "Race" and a pop-up will appear with a list of races that can be selected. Choose the appropriate race and the defendant's race will be changed.
  15. Click the pencil icon next to "Gender" and a pop-up list will appear showing you options for gender that you can choose from. choose the appropriate gender and the defendant's gender will be changed.
  16. Next to "Age at Case Date" you will see the defendant's age at the time the case was entered. If the defendant's birthdate was entered, this age will be precise. If only an age was entered for the client (not a specific birthdate) the software will estimate the age based on the date of entry. It can not be edited here and must be edited in the "Current Defendant Contact Info" block.   17. Next to "Current Age", you will see the current age of the client. This is also determined by the birthdate or age provided during the original entry. It can not be edited here and must be edited in the "Current Defendant Contact Info" block.   18. Click the pencil icon next to "Next of Kin" to add or edit the defendant's next of kin.

Current Defendant Contact info

  1. On the right side of the screen, you will see the "Current Defendant Contact Info" block. Editing the info in this block keeps the information for the defendant up-to-date for easier reference.
  2. If the information in the "Defendant Info for Case" block is current, you can save time by clicking the red icon that looks like two sheets of paper, and the information in the "Defendant Info for Case" block will be copied to the "Current Defendant Contact Info" block. 
  3. Similar functionality can be used to copy the information from the "Current Defendant Contact Info" block to the "Defendant Info for Case" block. If this has been done a red icon that looks like a chain link with a line through it will appear at the top right of the block. Clicking this will break the link between the two sets of information allowing each to be edited independently.
  4. To the right of "First Name" you will see the defendant's first name. To edit their name, click the pencil icon next to their name and you will be able to make edits.
  5. Below their first name, you will see the defendant's last name. Click the pencil icon next to the defendant's last name to make edits.
  6. Next is a field labeled Business Name. If the defendant is related to a business in the corresponding case, that business can be added or edited here. In this case, there is no business name so the field appears in red font and reads "Enter Business Name". Any fields that were not filled out during the original entry will appear this way.

  13. If the defendant has acquired another phone number, click the pencil icon next to "Secondary Phone" to enter it or edit an existing secondary phone number.
  14. Click the pencil icon next to "Email", to edit the defendant's email address.
  15. Click the pencil icon next to "Race" and a pop-up will appear with a list of races that can be selected. Choose the appropriate race and the defendant's race will be changed.
  16. Click the pencil icon next to "Gender" and a pop-up list will appear showing you options for gender that you can choose from. choose the appropriate gender and the defendant's gender will be changed.
  17. Next to "Date of Birth" you will see the defendant's date of birth which can be edited by clicking the pencil icon next to the date. If cases that this defendant is involved in are using the "Current Defendant Contact Info", edits made here will also affect the related cases. If only an age was entered for the defendant, this field will be empty.
  18. Click the pencil icon next to "Next of Kin" to add or edit the defendant's next of kin.
